Price Override

When to Use

Use price override when the price tag on the physical item differs from what the POS shows. Common cases:

  • Old stock with a different price tag than new stock
  • Clearance sticker placed over the original tag
  • Damaged or open-box item offered at a reduced price
  • Manager-approved price match or goodwill discount on a specific item

Price override is per sale line only: it does not change the product's price in the system. The next sale of the same product defaults to the system price again.

For Managers and Admins

  1. Add the product to the cart normally.
  2. Tap or click the price on the cart item row.
  3. Type the new price and press Enter or click ✓.

The cart item shows the new price with a small dot (•) confirming the override. Press Escape or click ✕ to cancel and restore the original price.

For Cashiers (Manager Approval Required)

  1. Add the product to the cart.
  2. Tap or click the price on the cart item row.
  3. The Price Override dialog opens.
  4. Enter the new price.
  5. Ask the manager to enter their email address and password.
  6. Click Confirm.

Each overridden item requires its own approval.

Viewing Overrides in Sales History

In Sales History, overridden lines are marked with a "Price adjusted from X" indicator and the original price struck through (visible to Managers and Admins only).


FAQ

Q: Does overriding a price change the product's price for future sales?

A: No. It is a one-time override on that cart item only.

Q: Can I override to a higher price than the system price?

A: Yes. There is no upper limit.

Q: Can I override to zero (give the item away)?

A: No. Zero is not a valid price. For complimentary items, apply a 100% line discount with manager approval.

Q: What if I remove the item from the cart and add it back?

A: The override is cleared. The item re-enters at the current system price.

Q: Does the override price appear on the customer receipt?

A: The customer's receipt shows the price they were charged. The original system price and "adjusted" indicator are visible only in Sales History for Managers and Admins.

Q: Can a Cashier override prices on multiple items in the same cart?

A: Yes, but each item requires its own manager approval.

Q: A cashier entered the wrong override price and the manager already approved it. Can it be fixed before paying?

A: Yes. Tap or click the price on that cart row again to re-open the override input. A new manager approval will be required, but the item can be corrected before confirming payment.

Q: Can I override the price on a variant product?

A: Yes. Price override works the same way regardless of whether the product has variants.

Q: Is there a record of who approved each price override?

A: Sales History shows the original system price struck through on each overridden line. A detailed log showing who approved each override and when is planned for a future update.

Q: What happens to an override price if the sale is voided?

A: The void records the refund at the price that was actually charged — the override price — not the original system price.
